We are a true comprehensive fee-based financial planning practice located in Paramus, NJ. Our clientele consists mainly of business owners, executives and retirees. We tend to focus on transitioning clients from accumulation to distribution mode in retirement as well as helping the families sustain wealth over multiple generations. Our team is cohesive, collegial, fast-paced and professional, yet we manage to have fun and sincerely enjoy one-another’s company. Together, we provide our clients with an extraordinarily high level of service leading to a high retention rate. Creating a positive, enjoyable and productive environment inside the practice is essential. This experience is the foundational role of the Practice Coordinator, we are seeking to add to our team.


About you:

You have spent the last several years in a financial services environment. Perhaps you started out as a financial advisor, fell in love with financial planning but prefer a back-stage support role rather than constantly prospecting. Or perhaps you learned the business from the ground up assisting a top planner. Today, you are a polished professional, securities registered and insurance licensed, with finely honed organizational and interpersonal skills. You handle both short and long term projects adeptly. You enjoy leading teams and are able to get the best out of people. You have a solid technical knowledge and love rolling up your sleeves to help develop financial plans, respond to client issues or process business. You have strong Microsoft Office skills as well as experience with CRM management software. You are a highly effective written and verbal communicator. You desire to be part of an expanding team, working collaboratively together and are seeking an opportunity to make a difference.

Job Responsibilities:

  • Maintain a positive and welcoming environment for clients, team members and professional partners
  • Run our weekly team meetings designed to keep our cases in motion progressing along with all informed and our quarterly off site meeting where we work on the business, not in it
  • Track our activity that relates to our client acquisition process
  • Debrief with advisors following client meetings and develop action plans for all phases of planning
  • Coordinate tasks within the team and track progress through completion with a constant eye on quality control
  • Assist with social media (mainly LinkedIn), manage website content and monthly email newsletter
  • Organize all aspects of hosting meaningful client appreciation events and overall marketing efforts
  • Track, schedule and confirm existing client review meetings
  • Maintain an accurate CRM system (Redtail) with client's current and relevant information
  • Conduct annual performance reviews of all team members and create a development plan for improvement
  • Handle complex client service issues independently
  • Provide leadership and oversight to administrative support team
  • Assure that practice is operating compliantly, efficiently and profitably
  • Develop and implement systems that assure a consistently high level of client engagement and gratification
